NOTICE TO ALL CLUBS AND STAKEHOLDERS

RE: PAYMENT OF LEAGUE CONTRIBUTIONS – LOCAL CURRENCY PAYMENTS AND BANK CHARGES

Dear Clubs, Stakeholders and Members,

The Northern Region Handball League would like to bring to the attention of all participating clubs and stakeholders an important matter concerning the payment of league affiliation and participation contributions.

As previously communicated and agreed upon during our meetings, participating clubs are required to contribute US$250 towards the running and administration of the league.

We appreciate the efforts being made by clubs to meet their financial obligations. However, we have noted a challenge arising from payments made in local currency, as well as payments made through bank transfers where significant bank charges are deducted.

1. LOCAL CURRENCY PAYMENTS

We fully appreciate that some clubs may find it more convenient to make payments in local currency.

However, where a club is required to meet a US$250 obligation, the local-currency equivalent received by the league must ultimately correspond to the agreed US$250 obligation.

The challenge we are currently experiencing is that, due to exchange-rate differences and the manner in which the payment is processed, the amount actually received may be less than the required USD equivalent.

This creates a shortfall for the league.

It is therefore important that clubs do not simply calculate the local-currency amount based on an assumed exchange rate and proceed with payment without first confirming the applicable rate and payment method.

We kindly request clubs to seek clarification from the league administration before making local-currency payments, so that the correct amount can be established and unnecessary shortfalls avoided.

2. BANK CHARGES

We have also experienced situations where payments made through banks have attracted charges which are deducted from the amount being remitted.

As a result, the league sometimes receives considerably less than the amount that the club intended to pay.

For example, where a club intends to settle the full US$250 obligation, but bank charges are deducted from the transfer, the amount ultimately received by the league may be below US$250.

This means that, despite the club having initiated what it believes to be a full payment, the league has not actually received the full amount required.

This is becoming a significant challenge because the league operates on limited resources.

3. WHY THIS MATTERS

The contributions received from clubs are not simply administrative figures.

They are intended to assist the league with practical requirements such as:

* Securing venues;
* Match-day administration;
* Transport and logistical requirements;
* Trophies and medals;
* Equipment;
* Playing kits;
* Officials and other competition requirements; and
* Other operational expenses associated with running the league.

The league currently does not have a permanent sponsor to cover these costs.

Every dollar received therefore matters.

When the league expects to receive US$250 but receives less because of exchange-rate differences or bank charges, the difference has to be absorbed by the league, which ultimately affects our ability to provide the services and resources expected by participating clubs.

4. REQUEST FOR CLARIFICATION BEFORE PAYMENT

We therefore kindly request all clubs that intend to make payment in local currency or through a bank transfer to contact the league administration before making the payment.

This will allow us to clarify:

1. The applicable exchange rate;
2. The amount that needs to be remitted;
3. The preferred payment method;
4. Any applicable bank charges; and
5. Whether the amount received will satisfy the full agreed obligation.

Our intention is not to make payment difficult for clubs.

On the contrary, we want to establish a clear, transparent and workable payment procedure that protects both the clubs and the league.

5. A COLLECTIVE RESPONSIBILITY

We appreciate that clubs are making an effort to meet their obligations, and we do not take that commitment for granted.

However, we must also ensure that the method used to make payment does not unintentionally create a financial shortfall for the league.

We therefore appeal to all clubs and stakeholders to work with the administration in finding a practical solution to this matter.

Our goal is simple:

If a club has an obligation of US$250, the league should ultimately receive the full value of that US$250 obligation, without the payment method creating an unintended shortfall.

We believe that with proper communication and clarification before payments are made, this challenge can be resolved amicably.
