Match fees shouldn't be the hardest part of running a league
Chasing bank transfers against a WhatsApp group. Captains footing the bill and then hassling teammates for a fiver. No real idea what next month's cash flow looks like because you're still untangling this month's.
There's no single "right" way to collect payments. Per season, per fixture, split half-season, shared team payments, memberships — the best option depends on how your league actually runs.
We've put together a practical guide covering every payment model, when to use each one, and how automation (reminders, overdue tracking, shared payments) takes the chasing off your plate entirely.

If you run a league, chasing match fees probably takes up way more of your week than actually running it...
Cross-referencing bank transfers against a WhatsApp group. Captains footing the bill upfront, then spending their week hassling teammates for a fiver. Zero idea what next month's cash flow looks like because you're still fixing last month's arrears.
If you're serious about growth, you need to embrace automation, so you can focus on the business and the teams instead of the accountancy.
With shared team payments, automated per-fixture billing, and a traffic-light view of who owes what, that's exactly what changes. No more awkward car park conversations about who hasn't paid.

Stop Chasing, Start Playing: How to Automate Your Match Fee Collections
If you’ve ever spent a sunny Sunday afternoon hunched over a laptop, cross-referencing a bank statement against a WhatsApp group and a coffee-stained notebook, you’re not alone. You’re suffering from The Debt Collector’s Fatigue. For most grassroots league managers, the “management” part...

What does it look like when a league stops firefighting admin and starts focusing on growth...
Play Netball used to run everything in Excel. Manual data entry, bank statements checked by hand every day, payments matched to players one by one. It worked, until it didn't.
Rob Fulker, Operations Manager at Play Netball, put it plainly: there was so much room for error that it became almost impossible to figure out where things had gone wrong.
Since moving to one system for registrations, payments, fixtures and communications, the numbers speak for themselves. One admin now manages 70+ leagues, up from 20. Revenue has doubled without adding headcount. And the team saves over 100 admin hours every single week.
As Rob put it: had they invested in this system from the start, they could have grown so much quicker.

Your weekend doesn't start on Friday at 5pm if you run a grassroots league...
It starts with pitch inspections, score-tracking, and chasing referees for a straight answer. The admin monster doesn't just eat your free time, it devours it!
League managers tell us it's 5 to 10 hours a week: cross-checking payments, fixing goal difference after a typo, chasing captains for registration forms.
Brett Daynes at Totally Netball put it simply — automating the admin gave him the kind of hybrid working setup where he could focus on growth instead of spreadsheets.
So what would you do with 5 hours back? Watch your kids play without checking your phone, find a new sponsor, grow your league without growing your workload.

The 10-Minute Manager: What Would You Do with 5 Extra Hours a Week?
If you run a grassroots sports league, your weekend probably doesn’t start on Friday at 5:00 PM. Instead, it’s a blur of Sunday morning pitch inspections, Monday night score-tracking, and Wednesday evening “Where are you?” texts to referees. For most volunteers and small business owners, the...

Growth is a goal for every league organiser...
But it rarely breaks a league all at once. It finds the weakest link first, quietly, while you're too busy celebrating the new sign-ups to notice.
For some it's fixtures, once a spreadsheet can't keep up with the copying and chasing. For others it's payments, or a communication tool hitting limits nobody expected, or realising there's no one else who could step in if you took a week off.
None of it's inevitable. We've broken down what actually cracks first, why, and what to do about it: https://zurl.co/5N8pD
Where would your league feel the strain first if participation increased by 50% next season?
What Breaks First When A League Starts Growing?
Most leagues organisers will say that growth is the goal – More teams, more players, more venues, more Sunday mornings with a full car park instead of a half-empty one. But here’s the bit nobody puts on the recruitment poster, growth doesn’t break your league all at once. It finds the ...

How would your league score if you were honest about it?
The League Managers Hub have built the League Health Check to help organisers answer that properly.
It asks the kind of questions most organisers don't get time to sit down and think about:
📋 How much manual admin is involved in registration, and how confident are you the data's accurate?
💳 How easy is it to see outstanding payments right now, today?
📈 If participation jumped 50% next season, would your current processes actually hold up?
It takes a few minutes and gives you a clear picture of where your league is strong, and where it's quietly costing you time.

We've noticed the same few mistakes coming up again and again with league organisers, and most of them start the same way - something that worked fine at a small scale starts to buckle once the league grows.
A few examples from the guide:
📋 Registration and payments handled through manual forms or spreadsheets — leading to late fees, confusing sign-ups, and hours spent chasing payments
🗓️ Schedules built by hand, making it hard to adjust for cancellations or avoid double-booking venues
📣 Updates sent across emails, texts and social media, leaving parents and coaches feeling out of the loop
None of these are dealbreakers on their own. But stack a few together and suddenly admin is running the league, not the other way round.
We've pulled together the 5 most common mistakes we see and the practical fixes for each one into a free guide.

Every league starts small enough to manage on a spreadsheet. The question is what happens when it doesn't stay that way...
More teams, venues, payments to track and more people to keep in the loop. Growth is exactly what you want, but it's also when the cracks start to show — the ones that were invisible when you only had one venue and twenty players.
The leagues that scale smoothly aren't the ones that got lucky. They're the ones that built for growth before they needed it, rather than firefighting once things started slipping.
A few questions worth asking yourself now, while things are calm:
🗓️ Could your scheduling process handle three more venues tomorrow?
💳 Would payments still run smoothly if your player numbers doubled?
📣 Is there one person holding all the knowledge, or could someone else step in if needed?
Future-proofing isn't about predicting exactly how big you'll get. It's about building a foundation that doesn't buckle when growth actually happens.

One netball league went from 1 to 5 leagues in six months. Here's how...
Netball Now launched with Magic Sports from day one. No manual spreadsheets or chasing payments by hand — just a system built in from the start.
Abbie's own estimate was that running it manually would have eaten up half their working week. Instead, it takes 5–10 minutes a day.
The numbers tell the story:
📈 1 league → 5 leagues in 6 months
🏐 Nearly 300 players, with more leagues launching next month
💰 Payments virtually hassle-free, with zero chasing
⏱️ What could've been 50% of the week down to 5–10 minutes a day
As Abbie put it: "Why give yourself the stress of managing everything yourself?"
Starting right from day one meant they could focus on growth, not admin. Read more here: https://zurl.co/3VdAX

One thing we've learned from working with league organisers...
The busiest leagues aren't always the biggest.
They're usually the ones relying on the most manual processes.
A few hours spent improving registrations, fixtures or payments before the season starts can save dozens of hours once the season is underway.
