POSITION DESCRIPTION
Executive Administrator
Position Overview
The Executive Administrator is responsible for providing comprehensive administrative, governance, financial, and operational support to Judo Saskatchewan, its Board of
Directors, committees, clubs, members, and stakeholders. This position serves as the primary administrative officer of the organization, ensuring the efficient day-to-day operation of the provincial sport organization and supporting Judo Saskatchewan’s mission to develop and promote judo throughout Saskatchewan.
The Executive Administrator plays a central role in maintaining organizational continuity, supporting strategic planning and decision-making, delivering responsive member services, and ensuring that Judo Saskatchewan’s administrative infrastructure enables the organization to serve its diverse community of clubs, coaches, athletes, officials, volunteers, families, and community partners.
Reporting Structure
• Reports directly to the President of Judo Saskatchewan
• Works collaboratively with the Board of Directors, committees, and staff
• Provides quarterly progress reports to the Board of Directors
• Prepares an annual administrative report at the Annual General Meeting
• Attends Board meetings as a non-voting member when required by the Board
• Attends committee meetings as designated by the Board of Directors
• Annual objectives are set in consultation with the President and reviewed by the
Board or a designated review committee
Employment Status
This is intended to be an ongoing, permanent position. As this is a newly created role, the initial term will be one (1) year, allowing Judo Saskatchewan to evaluate the position at the end of the term before it continues on an ongoing basis.
Key Responsibilities
The Executive Administrator provides administrative, governance, financial, and operational support as needed to the President, Board of Directors, committees, and staff, helping to ensure the effective and efficient day-to-day operation of Judo Saskatchewan. Core areas of support include:
• Office administration, including correspondence, records, organizational systems, and day-to-day operational support
• Board, committee, and governance support, including meeting preparation, minutes, and record-keeping
• Financial administration support, including processing transactions and assisting with budgeting, bookkeeping, and reporting
• Membership, registration, and club services support
• Communications and stakeholder relations across Judo Saskatchewan’s membership and partner network
• Event and program coordination support for tournaments, clinics, and other organizational activities
• Records management and compliance support, including maintaining organizational records in accordance with policy and applicable legislation
Required Qualifications
• Post-secondary education or equivalent experience in administration, business administration, nonprofit management, sport administration, recreation, or a related field
• Demonstrated experience in office administration, association administration, or a nonprofit, sport, recreation, or member-service environment
• Experience supporting boards, committees, meetings, minute-taking, and records management
• Proficiency with Microsoft Office or Google Workspace, email, online meeting platforms, spreadsheets, databases, and cloud-based filing systems
• Experience with financial administration or bookkeeping support, including invoicing, expense processing, and budget tracking
• Excellent written and verbal communication skills
• Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive organizational information
• Strong organizational skills and attention to detail
• Ability to work independently and collaboratively with volunteers, staff, and Board members
• Ability to obtain a satisfactory criminal record check or vulnerable sector check if required by organizational policy
Working Conditions
• Work is primarily performed in a home-office environment
• Occasional travel within Saskatchewan may be required to support events, meetings, and organizational activities
• Periodic evening and weekend work may be required to attend Board meetings, tournaments, clinics, and other organizational events
• The role involves extended periods of computer-based work
Compensation and Benefits
Compensation and benefits are provided in accordance with Judo Saskatchewan’s payroll and compensation package. Details will be discussed with the successful Candidate.

Welcome back to the mats!
Hi everyone!
Hope you've had a great summer! ☀️
The YMCA registration for the Judo classes is August 31 at noon.
** PLEASE make sure you are ready to register right at noon because our classes fill up fast.**
Once you have enrolled in a class, please attend an in-club registration/information day on EITHER September 8th OR 9th, 6:00 pm – 7:00 pm. This registration is for all members (old and new).
- Fill out registration form with the club (different than YMCA registration) and pay a club fee ($85 for ages 5-16, $95 for ages 17+), e-transfers encouraged
- Gi (uniform) sizing, prices range from $50-90
- Receive information about our club and the sport of judo
- Find out how to join our WhatsApp groups to stay informed of club classes and events
