Everyone is telling small business owners to transform with AI. Rebuild everything, automate everything, move now or fall behind.
You don't need a transformation. You need Tuesday to run slightly better than Monday did.
That's kaizen, and it's the calmest, most practical frame I've found for putting AI to work in a small business.
In this edition:
One rule that replaces the whole AI hype cycle: improve what you already do before adding more tools. How to find the waste hiding in your week before you buy anything, why AI is the seed but your process is the soil, and the four questions that take ego out of every tool decision.
Plus August in AI: the top-tier models arrived without a price increase, Washington and the AI labs finally sat at the same table, and the official numbers showing adoption crossed the halfway mark while training, not tools, became the real bottleneck.
Also: the story of a litigation lawyer in Chile with zero tech background who built her firm's entire AI system herself, one Friday at a time. It might be the best proof of this issue's whole argument.
New edition below.
What Kaizen Knows About AI That Most Business Owners Don't
August 7th, 2026 My blog posts used to follow a predictable pattern. I would start with a good idea, open a document, and write a few paragraphs.

Most businesses try to grow by adding pressure. More leads, more posts, more hours.
The bottleneck was never effort. It was the system underneath it.
When the intake is manual, the follow-up lives in someone's head, and the handoff depends on memory — speed just breaks things faster.
Fix the engine first. Then the accelerator actually does something.
That's what we build at FIVE75: operating systems that remove friction, capture what your team knows, and run the repeatable work without you.

You can't outrun a tiger. You can't tame one either. You can only climb on and mind your seat.
That's the whole game for small business owners right now. Markets won't hold still, and the owners doing well aren't the ones waiting for stable ground.
They're the ones who learned to ride the movement.
In this edition:
A four-part playbook for staying steady: the props audit, putting down the imaginary scoreboard, keeping inner distance from the noise, and minding your seat.
Plus July in AI: the new model wave that made AI cheaper and more capable in the same month, agents that actually finish business tasks, and the numbers showing small businesses are past the experimenting phase (and saving a median of 5 hours a week doing it).
Also: what a client who is almost 80 taught me about why he'll never retire.
New edition below.
Ride the Tiger: How Small Businesses Stay Steady When Markets Won't Hold Still
If running your business lately feels like the ground keeps shifting under you, your instincts are working fine. Markets move faster than they used to.

Lets talk WEBINARS and COURSES.
There's a whole industry right now selling business owners the idea of building AI tools or agents for themselves. A free webinar leads to a course, the course leads to a subscription, and the pitch always lands the same way: anyone can do this.
Maybe so. But nobody asks the honest question, which is WHEN? You already run a business. Building an AI system is a time consuming second job.
Here's how it usually goes. You pay, you watch half the videos, work gets busy, the system never gets built, and six months later you've decided AI doesn't work.
The tools were fine. You paid for something you never had time to build.
I know because I lived it. I run a small consulting and tech business, and even with twenty years of systems work behind me, wiring AI into my own operation was overwhelming. So I built Company OS for myself first: one place that remembers how my business runs, with the repetitive work automated on top. It stuck. Clients started asking for the same thing.
That became FIVE75.ai
The short version: PLEASE don't pay to be taught something you'll never have time to build. Buy the built thing once, own it, and let it work.
AI Agents are a real thing, but so is the TIME needed to build them.

Everyone is talking about AI.
The more interesting question is:
What is AI doing while you're not talking to it?
Most businesses still open ChatGPT, ask a question, copy the answer, and close the tab.
That's helpful.
But it doesn't remember your business. It doesn't know your processes. It doesn't follow up with clients. It doesn't send reminders. It doesn't organize your knowledge. It doesn't reduce the mental load of running a company.
A Company Operating System does.
Instead of asking AI to help one conversation at a time, build a system where AI remembers how your business runs—and quietly handles the repetitive work every day.
That's the difference between using AI and operating with AI.
The businesses that make that shift won't just save time.
They'll build companies that are easier to run.
If you're curious what an AI Operating System could look like in your business, let's talk.

Win, win! Productivity boost while staying true to her clients.
A client Milla Goldenberg founder of House Hunter LA, posted this to her stories this morning. Unprompted!
Before, she managed leads on a whiteboard. Then she entered the same contact information into her CRM, then into Mailchimp, then emailed it to her transaction coordinator. Four entries for every new lead.
Today she summed up the result in one sentence:"Now one keystroke does it all at once."
That isn't the real story, though.
My favorite part came later when someone asked what her AI system won't do.
Her answer: "Interface with clients. This is the part of the job I love most."
Exactly.
AI shouldn't replace relationships. It should eliminate the repetitive admin work that keeps you from them.
That's the philosophy behind every Company OS we build at FIVE75:
Automate the back office. Keep the client work human.
Seeing clients describe the transformation in their own words is always more rewarding than anything I could write myself.

If you answered "yes," you probably proved the point.
Time isn't something most small business owners have.
It's something they negotiate with every single day.
More emails. More follow-ups. More scheduling. More paperwork. More little tasks that don't grow the business but somehow still have to get done.
At FIVE75, we help business owners reclaim those hours by building systems that remember the repetitive work for you.
Imagine if appointment reminders sent themselves. Client follow-ups happened automatically. Documents moved where they needed to go. Routine questions were answered before your phone ever rang.
That's not about replacing people.
It's about giving you back the one thing you can't make more of.
Time.
Because the goal isn't to work harder.
It's to spend your time where you're most valuable, serving clients, growing your business, and getting home a little earlier.
If you're constantly saying, "I just need more time," let's have a conversation.
There's a good chance you don't need more hours.
You need a better system.

Every business is chasing more customers.
Far fewer stop to ask a better question:
"Who aren't we reaching?"
Sometimes the answer isn't spending more on ads.
It's discovering an audience you never considered.
Maybe it's a community. Maybe it's a niche industry. Maybe it's a referral network. Maybe it's a platform your competitors ignore. Maybe it's a workflow that lets you serve twice as many clients without hiring.
Growth isn't always about doing more.
Often it's about seeing opportunities that were there all along.
That's what we do at FIVE75.
We help businesses uncover the hidden opportunities in their operations, marketing, and customer journey—then build systems that turn those opportunities into consistent growth.
The next stage of your business may not require working harder.
It may simply require looking in a direction you haven't looked before.
If you're wondering where your next customers will come from, let's figure it out together.

Most agents don't have an income problem.
They have a capacity problem.
At first, hustle works. You answer every call, chase every lead, write every email, schedule every showing, and somehow keep it all together.
Then success becomes the bottleneck.
More clients means more admin. More admin means slower responses. Slower responses mean missed opportunities.
The agents breaking through aren't necessarily working harder.
They've built systems that work even when they're not at their desk.
• Leads get an immediate response. • Appointments book themselves. • Follow-ups happen automatically. • Clients stay informed without you having to remember every detail.
Technology won't replace great agents.
It removes the repetitive work so you can spend more time doing what actually closes deals: building relationships and earning trust.
What's the first task in your business you'd never want to do manually again?

It takes one little mistake...
Yep, one careless automation can put your client data one screenshot away from a breach.
Here is how it happens. An owner puts together a few tools to save time. An intake form feeds a chatbot. The chatbot passes data to a project tool. The project tool emails a notification. Somewhere in that chain, client data lands in a system nobody vetted, with permissions nobody set, logged in a place nobody can see.
Nothing looks wrong. It works.
Right up until the day it does not, and now you are explaining to a client, or a regulator, where their information actually went.
The root cause is not the tools. It is that nothing in the chain remembers the boundaries. There is no system holding the line on where data can live, who can touch it, and what is allowed at each step. So every shortcut quietly adds exposure nobody measured.
That is why compliance has to be designed into the system. A Practice OS is PHI-free by default, with a HIPAA-ready build and signed BAA available when you need it. The boundaries are part of how the thing is built, so the data path is something the system remembers and enforces, not something you hope everyone got right.
If you cannot draw the full path from memory, you do not have an automation problem. You have an exposure you have not measured, and a system that was never built to remember.
