I just sat down with Alicia Katz Po***ck, Royalwise founder, QuickBooks trainer to thousands, and someone I consider the Queen of QuickBooks.
It was a fascinating conversation.
She shared that when Intuit overhauled the QuickBooks interface last year, she had to rewrite a 600-page textbook and 50+ courses, click by click.
Instead of freezing at the size of it, she broke it into one class a week until it was done. Her words: "You can't eat the whole elephant. But you can eat it piece by piece."
We also discussed the real AI advantage โ not chasing every new tool, but knowing which piece to tackle first and trusting your own judgment over the machine's.
AI can draft your invoice. It can't build your client relationships, catch a wrong number on a financial report, or decide what actually matters for your business this quarter. That's still on you.

Here are 7 things that matter more than which tool you pick:
1. ๐๐ป๐๐ฒ๐๐ ๐ถ๐ป ๐๐ผ๐๐ฟ ๐ด๐ฟ๐ผ๐๐๐ต: Free videos and figuring it out as you go works for a hobby, not a business. Skipping it has a hidden cost โ a team still doing things the slow way six months from now.
2. ๐๐ฟ๐ฒ๐ฎ๐๐ฒ ๐ฎ๐ป ๐๐ ๐๐๐ฎ๐ด๐ฒ ๐ฝ๐ผ๐น๐ถ๐ฐ๐: Don't assume your team knows what they should and shouldn't use AI for. No policy means no guardrails, just hoping everyone lands in the same place.
3. ๐๐ผ๐น๐น๐ผ๐ ๐ฎ ๐ณ๐ฟ๐ฎ๐บ๐ฒ๐๐ผ๐ฟ๐ธ: Your team probably knows the basics. The problem is what happens without structure: inconsistency. Everyone doing AI their own way isn't innovation. It's chaos with good intentions.
4. ๐๐ถ๐ฎ๐ด๐ป๐ผ๐๐ฒ: Before touching a tool, ask: what are our recurring tasks, and where can AI actually help? Most teams skip this and grab whatever's trending. That's backwards.
5. ๐๐ฒ๐๐ถ๐ด๐ป: Don't hand someone a tool and walk away. A real process answers four questions: what's the task, what input's needed, what's the output, and who owns it.
6. ๐๐ฒ๐ฝ๐น๐ผ๐: This is where good intentions die โ trying to do everything at once, or waiting for the perfect moment. Crawl, walk, run. Pick one process, get it working, then expand.
7. ๐๐ฟ๐ถ๐๐ฒ: Consistency without optimization is just busywork. If you're not measuring what's working, you're staying busy, not driving results.
